What is Pictoria One?
Pictoria One is a cataloguing and research system for visual collections and heritage archives. It brings records, digital assets, authorities, sources, rights and provenance into one controlled working environment.
Who is Pictoria One for?
It is designed for image collections, archives, museums, universities, research projects, galleries and specialist collections that need to manage complex visual material with documented context.
What kinds of collections can it represent?
Pictoria One can represent works of art, photographs, negatives, slides, scans, reproductions, documents and related digital material. Collections may be organised by custody, provenance, project, fonds, series or another documented institutional structure.
Collections and cataloguing
How does Pictoria relate works, images and digital files?
The system distinguishes the intellectual object or work, the visual document that depicts or records it, the managed digital asset and each concrete file and storage location. These entities remain connected without being collapsed into a single image record.
Does it support controlled vocabularies and authorities?
Yes. Local terms can be connected to authorities such as Getty AAT, ULAN and TGN, Wikidata and Iconclass. External identifiers enrich the catalogue without replacing the institution’s own authoritative records.
How are uncertain or conflicting descriptions handled?
Alternative attributions, dates and identifications can remain documented with their sources, status and review history. A proposal does not silently overwrite an accepted statement.
Data, storage and preservation
Where are data and files stored?
Pictoria One is designed for local or privately hosted deployment. The infrastructure, geographic location, retention policy and storage providers are defined for each institutional installation.
How do hot and cold storage work?
Files used for everyday access can be kept in readily available storage, while preservation masters and independent copies can follow more protected storage policies. These are administrative rules: cataloguers do not need to select providers, buckets or storage classes during routine work.
How are original files and preservation masters protected?
Originals and preservation masters are treated separately from access copies and thumbnails. Each file has its own identity, integrity checksum, registered location and access rules. Routine viewing uses authorised derivatives rather than the preservation master.
How are backup and recovery addressed?
For institutional operation, the architecture calls for coordinated backup of catalogue data and digital assets, independent copies, integrity verification and tested restoration. Folder synchronisation alone is not treated as a complete recovery strategy.
Access and institutional control
Who can access records and master files?
Access is governed by organisation, role, scope, record status and rights. Editing metadata or administering accounts does not automatically grant access to preservation masters.
How are sensitive actions recorded and controlled?
Reviews, rights changes, exports and sensitive file access can produce audit events. Destructive preservation actions can require a separate request, approval and documented outcome.
Deployment, AI and interoperability
Can Pictoria One operate locally or in the cloud?
Pictoria One is designed around a shared catalogue, asset and governance model for local operation or a privately hosted environment. The institution determines the appropriate infrastructure and access boundary.
How is institutional AI controlled?
Each institution determines whether AI is available, where processing takes place and which collections, records or derivatives are eligible. AI can remain disabled, operate inside an institutional environment or use an explicitly approved external service. Suggestions remain subject to human review.
Are preservation masters sent to external AI providers?
Preservation masters are excluded from routine external AI processing. An external service may receive only records or derivatives explicitly authorised for a defined purpose under the institution’s processing policy.
Can an institution export or migrate its information?
Pictoria One is designed around explicit entities, stable identifiers, linked authorities and portable metadata. Export and migration profiles are defined according to the institution’s source systems, standards and intended destination.
